No matter; TradaBase provides a range of ways to enter orders. Stock can be allocated at time of order or at any time up until shipping, and this can be done manually for ultimate stock control or automatically using FIFO principles.
You can keep your customers informed by emailing them confirmations (individually or in bulk); you can even send them details via sms if you want using our TextMagic service link facility.
Should your business deal with Retailers or other organisations that require fixed pricing then you'll benefit from TradaBase's Price List tool.
You can prepare future prices in advance and they simply come into effect automatically on the date in question; no more late nights updating prices post-cutoff!
The system contains a Haulage Matrix through which you can define both split and pallet picking prices by product/customer/warehouse/haulier.
Haulage costs are then automatically generated at the time of order input.
If you have multiple Lots of the same product available at the same time then you can enter a single sales order line and allocate stock to it from as many Lots as you wish.
This tool also usefully allows you to sell 'generic' stock that is picked from mixed sources.
If sending stock directly from a Supplier to a Customer you only have to enter the Sales Order into TradaBase (along with a bit of information about the Supplier and buying price).
TradaBase automatically generates and maintains a mirror-image Consignment, so there's no need to run slow batch processes to create and update them.
At any time throughout a Sales Order's life TradaBase can tell you what the current profitability is.
The system uses the most accurate information available, so if actual paid costs and/or invoiced sales are available that's great, but otherwise estimated selling prices and costs are used.
And this information is constantly updated as things move on, e.g. once a Lot is paid then all sales orders that stock has been used on are updated with the final product cost.
Selling on Open Price? TradaBase allows you to quickly send emails to customers for outstanding prices, and there's even an add-in available that uses a service called TextMagic to allow you to send SMS messages to a customer's mobile phone - useful for those customers without email!
You can enter an unlimited range of expected Sales Costs on every Sales Order (the most popular one is Transport which is automatically generated if you use the Haulage Matrix). Sales Costs can be apportioned across every line on a Sales Order or to a single line where necessary.
TradaBase also supports the concept of Memo Sales Costs, where you will never actually receive or pay an invoice but want to see a cost reflected in a Sales Order's profitability.
There may be occasions when you need to invoice someone other than the Customer of a Sales Order for something, so TradaBase allows you to enter Services.
For example, you might need to invoice the original Haulier if they damaged some of a Sales Order's stock during delivery.
Things go wrong, it's inevitable. Where short shelf-life items such as fresh produce are concerned the ability to speedily deal with issues is even more important and the outcomes highly variable; customers may be told to bin part or all of an order, or some of may be collected and returned either to the Supplier or a warehouse for sorting etc. This may all happen before or after the order has ben invoiced.
TradaBase provides a comprehensive feature called Sales Issues. Using this one feature you can record the issue, notify Customer and Supplier about it, record (separately) actions to be taken for the Customer and the Supplier, and even arrange and confirm collections of unwanted stock.
For un-invoiced sales orders revised quantities and prices can be set, but if an order has been invoiced a credit note can be automatically generated instead.
Once a Sales Order has been delivered and priced it can be invoiced.
Sales Order can be invoiced individually or in bulk if that's what you prefer.
Invoices can be emailed directly from TradaBase if you prefer. Alternatively TradaBase can create files of invoices for transferring to Sage's 50c Accounting software or the increasingly popular Xero cloud-based accounting platform.
TradaBase contains a wealth of reports, screens and exports (to spreadsheet format) that allow you to analyse performance by Trader, Customer, Product, Date or any combination thereof.
